What is ClickUp? A Handy Overview Best ClickUp Templates

ClickUp was founded in 2017 as one the most promising tech startups of the moment. The team behind ClickUp understood their goal: to make ClickUp the best place for teams and businesses to work more productively. They realized that the current productivity system could be all over.

There are a lot of project management tools out there that may be hard to keep direct track of – for instance, if you’re looking for a place to deal with project-related tasks, look closer to Monday.com or Asana. Time tracking management? Hubstaff and ActiveCollab are good options. Do you want to share documents and presentations with your team? Microsoft Office and Google’s suites of tools might help.

It’s not just the typical project management stuff that teams from all walks of life have to deal with. Communication is also important. While a few platforms include a chat function, many of them can be downloaded separately. You can think of Slack and MS Teams or even Discord.

With that in mind, there are way too many productivity-based apps for teammates to keep up with, creating an oversupply of separate ecosystems. For some, the increasing number of those may require more work to complete certain projects and achieve certain goals efficiently. ClickUp recognizes the need to create a platform that provides all workplace solutions from one location. ClickUp also believes that it will help improve productivity by 20%.

Though founded around half a decade ago, ClickUp has since then amassed a following of over 200,000 small- and medium-scale businesses and companies. These teams use ClickUp because of its cost-saving features. This helps them save time and money. ClickUp offers many useful tools, such as real-time collaborations with team members, shared task setting, productivity reporting, templates and other customization options. This is in addition to the usual tools like task management, communication and time tracking.

ClickUp’s flexible pricing range makes it a great choice for workplace activities. ClickUp also offers a free forever plan which is one of the most affordable productivity platforms. ClickUp makes sure that every member of the team can access all of its most important features, unlike other apps which hide their best features behind paywalls. ClickUp is ideal for remote teams with limited budgets. Best ClickUp Templates

ClickUp: Who are the ideal teams?

As already reiterated, ClickUp has enough features and traits that make it feasibly possible for teams of all sizes, from small startups to large-scale enterprises. Its overall design makes it an ideal choice for anyone.

  • Teams who work remotely or from home – Since ClickUp is cloud-based, it is a great option for businesses whose teams often work apart from each other.
  • ClickUp has excellent tools for human resources departments. ClickUp includes reporting and storage tools. ClickUp also offers a performance tracker which is a must-have for any HR department.
  • Design and advertising teams – Feedback is an important aspect when it comes to working with teammates in the design and applied arts field, so ClickUp delivers that with seamless collaboration and communication features like chat and comment sharing.
  • ClickUp is a great tool for marketing and finance-focused companies. ClickUp’s reporting and tracking features are great for teams that specialize in marketing or finance.
  • Teams who work in healthcare – Healthcare companies, no matter if they work remotely or not, must abide by the Health Insurance Portability and Accountability Act (HIPAA). ClickUp offers this compliance, but it is limited to the enterprise plan.

ClickUp: What’s good and what’s not

From simple and convenient offerings to jam-packed pricing plans, it’s no wonder why ClickUp has become one of the top choices for the best productivity software on the internet, and a fan favorite, too! But, from the looks of it, this statement may be too good to be true, so keep reading if you want to check if ClickUp still has what it takes to stand on its own two legs.

The Pros

  • ClickUp is one of a few platforms that offers a fully functional free plan. This includes vital workflow features that are not available through the paywall.
  • It comes equipped with a wide range of elite customization options, each suited for teams from various industries. You can customize dashboards to your personal preferences using the “Custom Fields” tool.
  • ClickUp houses a diverse library of work management tools in one place as a means to further boost communication and engagement throughout the workplace. It can range from excellent real-time reporting features to smooth collaboration options.
  • Its tools are easy to use, simple and convenient. This reduces the stress of trying to manage multiple productivity apps at once.
  • ClickUp’s plans don’t have the same limitations as other platforms. If you want to integrate with third-party apps or services or accommodate more team members, ClickUp has you covered.
  • ClickUp offers desktop access as well as a mobile app for iOS and Android that allows inter-team collaborations to take place while on the move.

The Cons

  • Despite being filled to the brim with easy-to-use features, using ClickUp requires having to go through a steep learning curve – in the case of onboarding, for instance, it may take an extra bit of time for new teammates to navigate through all of its in-house tools and learn how to use them well.
  • As far as UI is concerned, ClickUp falls short in the field as some parts’ font and text sizes may be too small for some to read. Color layouts can also be a concern.
  • ClickUp has many productivity features. However, it does not have the ability to provide post-project feedback. Its integrated tools may not be as intuitive as its counterparts. Best ClickUp Templates

ClickUp’s pricing plans broken down

ClickUp offers four pricing plans to its users, with a sub-plan and upgrade tier for each. Each of these plans is suited for a diverse range of teams varied by size, manpower, and availability of resources. Without further ado, let’s take an in-depth look at ClickUp’s plans!

Forever Free

Among the platform’s greatest highlights, there’s no question needed as to why ClickUp’s Free Forever plan is placed in the category of the best free plans offered by any productivity software. Even though it’s an entry-level plan, you have unlimited access to tasks and can add unlimited team members to your workspace. ClickUp’s core features are also explored, including native video recording, whiteboards and time-tracking.

While the lineup of offerings appears to be convincing, you have to keep in mind that some limitations have been put into place, like the allowance of only 100 automations per month and 100MB worth of storage. Nonetheless, the Free Forever plan is a solid pick for solopreneurs, project management newbies, and small-scale teams needing more budget.

Unlimited Plan

You like the free tier, but you don’t want to follow the rules that could impede your workflow. You may be glad that ClickUp’s Unlimited Plan offers plenty of welcoming upgrades and extra features at affordable rates. At the same time, other productivity platforms have plans similar to this but at higher price ranges. Best ClickUp Templates

For as low as $5 per user per month (if paid annually), you get the same core features from the Free Forever plan, plus unlimited storage and app integrations, unlimited dashboard creations, advanced reporting tools, and the Goals & Portfolio tool. This plan is ideal for small teams with a larger client base and more resources. However, upgrading from Free Forever will cost you a little extra, making it very valuable.

Business Plan

ClickUp’s Business Plan is for teams that have grown beyond their small spaces and are prepared to tackle new challenges. ClickUp’s Business Plan includes a host of features to meet the increasing demands of effective workplace resources. It includes extra security features such as double-factor authentication and single sign on integrations with Google for team members, in addition to the other features of the two previous tiers.

Additionally, the Business Plan has seen worthy upgrades for some of ClickUp’s core features, including advanced dashboard customizations, next-level automation, and upgraded public sharing. Also included is the Goal Folders feature, which lets you compile and organize project goals into separate folders for easy safekeeping. If you pay yearly, the Business plan is only $12 per user per month.

Upgrade to Business Plus

Want to explore more with the Business Plan? The Business Plus upgrade, priced at the starting point of $19 per member per month (annually), unlocks the rest of the tier’s features for a maximized productivity experience within the team. You will also get additional automations allowances.

ClickUp’s team-sharing and KPI tracking features, as well as custom role creation, will be explored. As a bonus, you’re given priority support, so whenever you have inquiries and requests, ClickUp’s customer helpline will step in as quickly as possible.

Enterprise Plan

ClickUp’s Enterprise Plan is the most comprehensive tier, offering more enterprise-grade features than all other plans. It is targeted at large-scale businesses and corporations as well as established businesses. There is no fixed price, so you’ll need to connect with ClickUp’s sales team to discuss the amount you might need.

The Enterprise tier includes advanced solutions such as white labeling, unlimited custom roles, advanced permissions, customized contract agreements complete with legal support, and HIPAA compliance for healthcare teams. You can also use multiple apps to sign on, including Google. There are also custom onboarding training available for new colleagues and a dedicated success manager who will ensure a positive and productive workplace. Best ClickUp Templates

A Closer Look at ClickUp’s Features

Before we go ahead and check out the rest of what ClickUp has to offer, it’s important to first look at its hierarchal structure. Nearly every typical productivity system consists of at least two things: a company and its projects. ClickUp elevates it with some structural changes. ClickUp creates its own hierarchy consisting of Teams, Workspaces and Spaces (Projects), Folders Lists, Tasks, and Folders.

Teams, in ClickUp terms, refer to the company or organization that handles all the tasks and assigns them to the employees or teammates. Teams are usually created by companies from different fields. However, there are rare instances when large groups manage multiple teams simultaneously. The Workspaces are also known as departments within the company.

After the Workspaces come next, a varying number of Spaces or work projects are assigned by the departments within the Team. Each Space branches to the Folders, which in turn branch to the Lists. All these, under the Spaces essentially, consist of subprojects that make up the grand scheme of the full plan. Lastly, the much-awaited Tasks from the Lists section, each assigned to different team members.

Now that we’ve got it dealt with let’s break down ClickUp’s integrated features and tools!

Multitask Toolbar

Once you step into the ClickUp user interface, you may notice the multitask toolbar, which appears if you click on one or multiple tasks on the list. You will find the same functions you would expect from an e-mail platform such as Yahoo Mail or Gmail: the ability to mark and select as read, delete, and the ability to delete. It is a wonderful feature for managers and solo power users who have to handle a lot of tasks.

ClickUp’s multitask bar allows you to do many things with your tasks, just like any other e-mail service. You can, for instance, change the status if they’re complete or not, modify the due dates, set assignees among your current teammates, and even convert some of them into sub-tasks to make the full goal less complicated.

Simplified Methodology for Managing and Viewing Tasks

Nearly all productivity apps require you to manually enter your tasks, and then inputting them in your team calendar and goals. ClickUp has simplified the process to a huge extent – instead of taking up nearly an hour or more of your time, you need to type in whatever task you have in mind and wait for the platform to integrate the data into your workspace very shortly.

Regarding how you view your laid-out tasks, ClickUp has given you plenty of options to explore. It currently houses over 15 powerful views, from the calendar and boards to the more advanced views like the Gantt chart, mind map, map view, and workload. That way, you’ll get a complete scope of how the rest of your team is doing, plus the assurance that your goals may be reached efficiently.

Customization Range

ClickUp is a great tool for task management. The useful drag-and drop feature makes organizing tasks a breeze. For instance, if you wish to change the deadline to a later period and day, you may simply drag one of your existing tasks further right or left in the Calendar section.

ClickUp allows customization beyond drag-and-drop functionality and multitask bar tools. ClickApps is a section that gives the Workspace a more personal feel. It provides time-saving tools like automations, dependencies and sprints. These can all be integrated into your space. On the other, you can have the option to create pre-made templates for your checklists, documents, folders, and the like that you may put into good use in the future, and, for a powered-up work environment, you can also integrate with over 1,000 apps and services – all made possible through Zapier. Best ClickUp Templates

Collaboration and communication tools

Communication is key to a successful work project, and ClickUp provides you and your team with in-house features that deliver the aspect right on the spot. You can chat with your colleagues and catch up on tasks. However, as good as these features may seem, it’s important to note that they shouldn’t be heavily relied on as there are some issues with the interface and that it’s better to have some comms backups on the ready in case something goes awry.

That aside, apart from the integrated communications tools, ClickUp’s also packed with smooth collaboration features up its sleeves. You can see what your colleagues are doing in real time from the Whiteboard to Documents, just like Google’s work space. Have any feedback in mind? You can proof your files or your teammates’ tasks, assign comments for suggestions, and even share them with others so they can see what’s going on.

Documents

It is a great idea to have a place where you can share your ideas and goals. However, you will need to access them on different applications. ClickUp addresses this problem by integrating its version of Documents to the platform. This allows you and your team members to work together without having to go elsewhere.

ClickUp Docs allows you to create and edit files using a few fonts, sizes and photos. You can also link your files with Workspace tasks through widgets. Why update your workflow in separate tabs when you can do it within the editor? Not only does this feature save you time but also your effort – this is especially important if you have a lot of tasks in mind and don’t like to clutter up your productive routine.

When your docs are ready, you have the option to share them either privately between your teammates or publicly with an automatically generated copy-paste link. Additionally, with ClickUp Docs, you can explore other useful features, such as turning on Focus Mode to let you focus on your part with no distractions and looking at the page’s details, including the word count and approximate reading time.

Real-time Reporting and Goal Tracking

It is crucial to track the progress of projects and determine if any steps have been taken to achieve their goals. To see how they play out as they happen, look no further than ClickUp’s customizable dashboard feature, which lets you navigate through different types of project indicators in one space. You have all the tools you need to know if your projects are on track for success, from the status of sprints and goals to the real-time graph showing how many tasks were completed by the team.

As far as reporting how well your general workspace is doing is concerned, you may be glad to know that ClickUp’s reporting section made it incredibly simple for you to do so, as with most of its other features. Aside from easily digestible visual graphs, the platform houses automatic reporting tools such as the Pulse section, where you get to view how many of your teammates are online at a specific time, Time Estimates, Team Points, and reports on how many tasks a teammate was able to complete in the day, month, or year.

Time Management

Remote work is becoming more popular. This has led to a growing demand for time management apps that help team members track how much time they work each day, week, and month, even though they may be in different places. There have been other platforms that offer time management, but ClickUp already offers them as part of its comprehensive package. Like the rest of the tools, its time tracking and reporting duties are designed to be just as convenient and simple.

The global timer allows teammates to enter their work hours, link their task and take notes. It doesn’t matter what device you use – ClickUp’s Chrome extension is free and you can record your time on your computer, your mobile phone or your laptop. You may opt to either start the timer as you get to your tasks or manually type in how many hours you’ll work in a day – no matter which way you prefer, ClickUp provides you with them. You’ll also explore the core tools that come with general time-tracking management, like time billing, editing, timesheets, and reporting. Have you used a separate time-tracking app before, and do you want to transfer data from there to ClickUp? Simply sync information between the two platforms. Best ClickUp Templates

Bonus: The ClickUp Support System

In need of assistance? ClickUp has nearly everything you may need to help you with them! Apart from being packed with many handy work management tools, ClickUp equally shines in providing its users with excellent customer support and learning resources.

On the one hand, its 24/7 customer service section can be accessed at any time regardless if you’re signed to a paid or free plan. What’s nice about it is that you get plenty of support teams to choose from. The Sales section, for example, is the best place to go if you have questions about the Enterprise plan. Likewise, if you want help setting up your Workspace, there’s a dedicated team for that.

Conversely, ClickUp lets you explore a vast library of learning content to guide you on how to use the platform, from the on-demand video tutorials in the Demo package to the information-rich documents found in its Help Center. ClickUp University offers courses and webinars that can help you and your team improve your work skills. Best ClickUp Templates

ClickUp: What customers have to say about it

ClickUp’s impressive list of project management tools has given it a cutting edge over the rest, although the number of those may be too overwhelming for some users who may just want to keep their fellow team members on track. But, for what it’s worth, it has amassed a considerable following among the general public.

Most team leaders who have used ClickUp for work have been generally positive about their experiences navigating through it so far. They have lauded the platform for its limitless customization possibilities and how time-saving most of its interface and features are. They also appreciate how functional the free entry-level plan can be compared to other productivity programs and how worthwhile it is to upgrade to higher tiers, especially considering the price.

Since ClickUp is loaded with many features, it’s already a given that the learning curve can be steep, especially for those not fully familiar with how remote project management works. With that in mind, they may need to allow themselves more time to get used to its inner workings, which the service thankfully catches up with a vast range of learning and onboarding material. ClickUp is also subject to criticism for its mobile app and web interfaces that can sometimes be glitchy, but most users don’t see any problems with the service as a whole. Best ClickUp Templates

Alternatives to ClickUp

ClickUp has made its mark as one of the best productivity software out there, and its level of recognition today has now equaled the following alternative work platforms below. Each one has its own unique features and competitive aspects, but some aren’t as good as ClickUp.

  • Monday.com – From the looks of it alone, it’s no wonder that Monday.com is considered by many to be among the closest competition to ClickUp in terms of workload features, range of customization, integrations, and providing teammates with learning and onboarding resources. It makes up for what it lacks with its free plan and large range of tools.
  • Smartsheet – Smartsheet provides teams with the same quality project management tools that ClickUp offers, including a reliable mobile app and multiple task-viewing options. They also have the ability to share tasks with colleagues in real-time. Smartsheet excels when it comes creating spreadsheet-adjacent projects plans. This makes it an excellent choice for detail-oriented groups that have to deal with large amounts of data, as well as freelancers and small-scale groups.
  • Teamwork – While ClickUp and the rest are collectively best for team projects, Teamwork has a slew of tools geared toward client- and service-based interactions. You can also use some of the great features that you would expect from any PM program, as well as many other useful tools. Although it doesn’t have all the features ClickUp offers, Teamwork has a complete suite of products that can be used to enhance productivity. Best ClickUp Templates
  • Asana – Some PM platforms, like ClickUp, may be inundated with too many features, and others may need to be more basic. They may be considered pointless. Asana perfectly strikes the balance of power and simplicity, making it a strong option for teams of various sizes. Asana is a great tool for beginners, offering a comprehensive mix of tools, from task management to communication. However, some aspects require access beyond the paywall, like full-range customization.

ClickUp: The Final Verdict

As we reach the end of our ClickUp review, let’s go full circle to the beginning and answer these questions: 1) How accurate is its claim to increase productivity rates? And 2) how well does it deliver when it comes to handling workflow?

Firstly, from how it executes its premise by being a one-stop platform for all project management needs, there’s no doubt that ClickUp has the potential to improve workflow among teammates, even while remote. But having a lot of tools can have downsides, such as the feeling of information overload. Second, depending on how you see it, the software does its best to tackle multiple tasks, even though a few of its aspects require improvement.

Based on everything we know so far, is ClickUp worth a try as the go-to software for you and your employers? The final answer may be up to you, but it’s a yes for us in this case! If you’re especially a small start-up team or simply ready to transition to remote work, you may be glad to know that ClickUp has nearly all the tools you need to help achieve your future goals.

What is ClickUp? A Short Overview Best ClickUp Templates

ClickUp is a cloud-based project management software that, like all other platforms, provides companies and groups of different sizes a space to work productively with optimized task-handling, goal-tracking, and reporting tools, as well as an open opportunity to foster growth as a collective to great heights.

ClickUp is one of the most popular productivity platforms today. It has distinct features that make each platform stand out. There are many features available, and most of them are easy-to-use and convenient. Additionally, it’s best known for its jam-packed free plan and impressively valuable premium contemporaries.

ClickUp is a popular and highly regarded product. Although ClickUp is packed with productivity features, some users find it too much.

What makes ClickUp stand out from the rest?

There’s no denying that ClickUp delivers when it comes to offering teams a wide variety of project management features. From core tools such as task creation, calendar, reporting, and communication, to handy functions you may not get anywhere else, like time and screen recording, real-time collaborations, and public sharing, ClickUp has it all.

What’s particularly nice about the large capacity of tools is that you can access them in one place instead of relying on multiple apps. It’s also worth noting that you don’t need to pay a lot to get a hold of most of the core ones as they’re already available in its Free Forever plan – that’s what ClickUp exactly promised since its inception in 2017. It’s believed that having all the necessary work tools in one centralized place may increase productivity rates within teams by around 20%.

ClickUp’s Shortcomings

However, while having as many features in one single platform as possible is a sound idea, it does have a downside. We all know that dealing with a lot of stuff at once may leave us feeling fatigued at some point. A common complaint nearly everyone has about ClickUp is that the overload of tools requires them to allot extra time to learn. Most teams will need to learn the tools before they can use them for their full-time work.

Though not much of a great concern as the other, ClickUp also needs to improve in terms of UI in that it can be buggy in rare cases and a bit complicated to navigate through. But that aside, it catches up in its customization abilities and offers excellent support and learning resources whenever help is needed.

ClickUp’s Pros

  • This includes a wide range of solutions for work, from task management to time tracking to goal setting.
  • Its free plan is one of the most robust in any project management software
  • Lets you explore a wider scope of customization tools

ClickUp’s Cons

  • It offers so many features that it can be intimidating for those who are new to it.
  • Overload of tools means more time for onboarding

ClickUp vs. Asana

Similar to ClickUp and Asana, Asana allows you to track your team’s tasks from anywhere on the internet. Did you know that you can access both platforms via the iOS or Android mobile apps?

Asana includes all the essential features that you would expect such as unlimited storage and reporting, goal tracking, communication, and reporting. ClickUp is a heavy-featured platform. Asana counters this by offering powerful tools for work and a simplified way to manage tasks.

Asana does not have as many tools as ClickUp, which may be good news for some. However, as high-quality as its lineup of features may seem, its estimated price range is twice as much as the other.

Comparing the Features

Both Asana and ClickUp offer teams a handy slew of core workspace features and tools, plus some additions, including portfolio access and customization. While the latter has life-saving tools like integrated time-tracking management, the former does not – this means you would have to find a dedicated program just for that.

Asana’s paid plans cost twice as much as ClickUp’s currently. For reference, the ClickUp Unlimited plan is priced at just $5; meanwhile, Asana’s equivalent is at a whopping $10.99. As for the free plans, Asana does not have the same key features as ClickUp, and most of them cannot be accessed unless you register for a premium tier. However, its entry-level tier includes unlimited storage among the only saving graces. This gives ClickUp the obvious upper hand in the category.

Asana’s Unique Aspects

Asana might not be well-known for its financial value. It might also need to be proficient in its offerings of project management tools. Asana may have had a greater advantage than ClickUp by not having much to offer.

Although the latter has a lot of features, it may not be enough for all teams, especially those who are going through the onboarding process. With the former, teammates wouldn’t have to worry as much, as its display of core tools is simply laid out and ready to use, further saving time in the process.

Asana makes it easy to incorporate and integrate as many things as you need to improve your team’s experience. Asana, like every other project management platform allows you to integrate with different apps and services such as Zapier for a wider reach.

Asana’s Pros

  • It has enough task management features to ensure a fast working environment.
  • The platform’s interface and functions are simple, making it easy for new users to use.
  • Has an impressive list of advanced integrations with third-party apps and services

Cons of Asana

  • Access to Asana’s paid-tier offerings is required for most of Asana’s key features.
  • Its expensive price range may not bode well for small-scale teams and low-budget groups.

ClickUp vs. Monday.com

Monday.com is one of the few platforms that offers almost the same capabilities as ClickUp. The former, much like ClickUp, allows you to manage all tasks with the best quality.

Monday allows you to create any type of task, file them in folders and subtasks. You can also collaborate with your mates in real time even if you are far away.

ClickUp Monday lets you do what it promises. The only differences are that ClickUp’s interface is more modern than the other, easier to use, and more suitable for large groups.

Comparing the Features

Monday provides the following tools for work management that ClickUp offers: In addition to primary functions such as task-making and reporting, and automations; these include the Gantt charts and Kanban boards, in-house Documents feature and time-tracking tools. While you can get half of these already in ClickUp’s freemium plan, with Monday, you’d have to pay up just to access them, which can be a bit of a hassle.

Regarding the pricing range, Monday’s version falls comfortably between ClickUp’s more valuable set and Asana’s more expensive one. The Basic plan costs $8, which is $3 less than ClickUp’s equivalent but not as expensive. Although there isn’t much to be had, Monday’s free plan has the best storage allowance. Comparing ClickUp’s 500MB storage allowance to ClickUp’s 100MB will immediately show the difference. Best ClickUp Templates

Monday’s Unique Aspects

Monday might be able to offer a greater number of features than ClickUp, but that is only because ClickUp requires access beyond the paywall. We do appreciate the polished UI. Like Asana’s interface, Monday’s was designed to be simple to use even after you have been onboarded.

Monday’s simplicity is what makes it stand out. Its layout of its features is the best. Since it can integrate with third-party platforms, it gives companies with extra needs or solutions a space to maximize the software to the fullest.

Aside from the fact that Monday’s pricing plans and the included tools are affordable, it could be a great project management tool for large to mid-sized groups. ClickUp is best for small groups so Monday should be the ClickUp for larger ones.

Monday’s Pros

  • Offers a wide range of great-value plans that are suitable for large and mid-sized teams.
  • Has enough work view options, features, and functionality to give off a highly competitive edge
  • Its interface is simple enough for anyone, including newly welcomed teammates.

Monday’s Cons

  • The free plan does not offer unlimited storage, but it has certain limitations.
  • It lacks multi-device support, as it can’t be currently connected to voice control platforms like Alexa and Google Assistant.

ClickUp vs. Notion

Notion was originally a note-taking app. Now it offers a refreshing approach for task management. Instead of relying on the usual design-heavy interface filled to the brim with tools, as seen in some top platforms such as ClickUp, Notion lays out its offering of features in a more simplified, minimalistic manner.

With Notion, you get to use a set of barebones work features, such as creating an organized list of to-do tasks, viewing the happenings in your workspace in different ways (from Kanban boards to calendar and timeline views), and crafting info-rich documents and wikis.

However, you wouldn’t be able to try out other handy tools, including the Gantt chart, as Notion does not have enough capacity to offer them. It does have a limited number of powerful solutions but it makes up for it with a simpler working environment.

Comparison of the Features

As already established, Notion does not have as wide of a range of functions to offer on the table as ClickUp. The general design of Notion is less bold and bold than ClickUp’s (unless you use one of the pre-made templates it has on its website). It makes sense, however, given the way it was presented originally.

Notion’s simplicity is reflected in its paid and free tiers. Its free plan, on the one hand, allows you to taste its core tools – what makes it different is that it’s more suited for personal use compared to ClickUp’s Free Forever plan. Notion’s Teams plan seems to be more suitable for groups that don’t require the additional features. Best ClickUp Templates

Notion’s Unique Aspects

The notion is one of the only software out there that caters to solo freelancers and minimalist teams better than large-scale companies with a lot at stake. It is easy to use, considering the limited features it offers. It is easy to understand and use.

Organizing tasks and other duties have always been challenging given its minimalist feel. You may be able to cut right to the chase and accomplish whatever task you set your mind, whether you are working alone or in a group.

Notion is easy to use. Its layout is also simple enough that you can maximize it however you wish. It may not be as great as other tasks like automation, but those won’t be much of a great concern if you’re a simple task management type.

Notion’s Pros

  • Excels in its task-creating, note-taking, and organization features, especially considering its origin as a simple notes application
  • Its minimalistic interface leads to a less complex setup process
  • Encourages users to be more functional and fluid in their workflow – this is enough to suit both one-person freelancers and teams with multiple players

Notion’s Cons

  • It needs other vital project management tools, such as automation and advanced-level reporting.
  • You may need to rely on third-party integrations if you want to use Notion and maximize it with other features it currently cannot offer

ClickUp vs. Trello

Trello is breaking with tradition and aiming to be the most popular project management platform. It specializes in offering teams a wide range of flexible ways to see and organize project tasks, with some notable ones including Kanban-style boards, signature Trello cards, and eye-catching views from lists to tables. Best ClickUp Templates

From the looks of it, Trello’s task layout capabilities have given ClickUp a worthy competitor in the field. It excels in automations and integrations. ClickUp’s free plan seems comparable.

Trello’s visual layouts are what make it stand out, but we cannot say the same about other aspects of project management like reporting. Nevertheless, its limited scope of tool offerings makes onboarding less cumbersome.

Comparison of the Features

Like ClickUp’s take, Trello does not fail to impress us with its storied range of visual task layouts, as each allows you to keep organized and in tune with your team’s primary goals. However, while you can create a Kanban board for free, you may need to pay for a $10 Premium plan to access many options. However, the Kanban board’s task management and automation tools are sufficient to be used by any team.

It is also worth noting that ClickUp’s integration capabilities are seamless. Trello’s free plan limits may limit your options, but you might be able to use its native and power-up offerings to give you more flexibility in your workflow. Additionally, Trello’s entry-level tier gives you unlimited storage, something ClickUp currently isn’t capable of having, which is a welcome bonus!

Trello’s Unique Aspects

Compared to ClickUp, Trello lacks a diverse range of workspace capabilities. Trello currently doesn’t allow you to track your projects, set up a timer or record work hours.

It is not suited for data-intensive projects that require a lot of flexibility. If all you need is a place to organize your tasks for your entire team, will this matter? If you don’t want to use Trello’s integration features, the default version might not suffice to meet your workspace requirements.

Speaking of organizing your tasks, it’s quite telling that Trello’s task management functions have helped the software get to where it is today. Apart from the assorted range of visuals, the Trello Cards feature lets you collate all your tasks into sub-ecosystems full of workplace interactions. Best ClickUp Templates

Trello’s Pros

  • A wide range of work view designs that are board-based, optimized for various purposes.
  • It has fewer features which makes the setup and onboarding process easier.
  • The free plan offers unlimited storage space which is great news for people who work with more data.

Trello’s Cons

  • Trello must improve its ability to create visuals and boards, as well as other critical tools such reporting and time management.
  • If you don’t sign up for the Premium mid-tier plan, your access to Kanban boards will be restricted.

ClickUp vs. Jira Software

Jira Software has been proclaimed the best project management software for agile teams. It boasts a variety of highly functional and advanced features. Most of these are geared toward teams specializing in IT and other high-skill fields, so if you happen to be part of one, this may pique your interest.

Like ClickUp, Jira is quite robust and flexible to use based on its current offering of interesting tools – the only difference being it’s more suited for coding pros and the like. Its core functions aside, many have praised it for its excellent reporting, dev-ops and bug-tracking capabilities.

It is also highly praised for its impressive list of native integrations. These are all great features, but Jira is also criticized for its slow UI, confusing setup and inability assign multiple people to the same task.

Comparing the Features

If there are a few things that both Jira and ClickUp have in common, they may include scrums, automations, project reporting, and power-heavy task management capabilities. One of the key differences is Jira’s focus on developers. This may explain why Jira’s features can be difficult to understand if you are not tech-savvy. Best ClickUp Templates

The commonality of both platforms is their intimidation upon first impression. ClickUp may be well-known for its feature overload. Jira’s features are so extensive that some may have trouble understanding it. You may be able to reap the benefits of Jira’s paid and free plans, especially if your job is in IT. Atlassian Access subscriptions are a good option if you want to have expert-level access, such as SCIM and SSO.

Jira’s Unique Aspects

Jira is a powerful project management platform that can be as simple or complex as you might think. Its many functions and tools make it a good choice for agile teams, especially when you consider the inclusion of unique assets such as DevOps or IT companies.

Jira may not be capable of offering every feature under the sun like ClickUp. It is able to integrate with ClickUp and offers extra gigabytes storage space. This allows you to easily add any feature that you need into your workspace. Want to incorporate Gantt charts and time checking? You can explore all of them in the Atlassian Marketplace.

A recurring issue some users have with Jira is since it can house as many integrations as possible, your computer may run into some hardware issues. With that said, Jira can be viewed as a platform where colleagues can collaborate as quickly as possible, so long as you have enough time to explore the platform.

Jira’s Pros

  • Packed with an outstanding set of power-heavy tools, most of which cater to teams who work in IT and web development
  • Has a generally functional free plan – and an equally robust list of paid plans
  • Jira is known for its over 1000 integrations with different platforms. Best ClickUp Templates

Cons of Jira

  • You may find it difficult to navigate Jira if you are not familiar with IT terminology.
  • Has been criticized for its often slow interface, less intuitive functions, and lack of important task management features

ClickUp vs. Airtable

Airtable is well-known for its spreadsheet capabilities. But it also has many other features. Penned as a “real-time spreadsheet-database hybrid” that takes on a new spin on the usual project management software, it focuses on letting teams mix in all the workflow and data into one cohesive source of truth.

While ClickUp has some great database management features, Airtable is the best in this area. It’s best recognized for its generously customizable spreadsheet-adjacent table view. Airtable is best suited for data-management teams, but it can be used for all purposes.

From its stable functionality to its user-friendliness, there’s no doubt that Airtable has gained the trust of so many folks who use it. But, in some cases, it can be challenging to use, especially with its data input functions.

Comparing the Features

Airtable allows you to craft an organized layout with the help of spreadsheets. Based on its template library, they can be utilized in multiple ways and for multiple purposes. The Interface Designer update has added new ways to view tasks. Similar to ClickUp, you now have the option to customize your views into calendar form or a Kanban board. Best ClickUp Templates

Features aside, we have to appreciate how Airtable presents its free plan. It may be less robust in features, but it is surprisingly functional. You get to access some core features, but as for customization, there’s not much range of options to explore unless you sign up for any of its premium plans. These plans are a little more expensive than ClickUp’s so be aware.

Airtable’s Unique Aspects

Out of all the project management software on our list, Airtable stands out best regarding spreadsheets. It’s also one of the only platforms that cash in on their spreadsheet and table tools as their star asset.

For years before the advent of digital boards and other task views designed for today’s age, spreadsheet programs like Microsoft Excel were primarily used to import data and lay out the tasks for any project. Their formal and neatly stacked nature stemmed from the design has helped get teams to reach their goals.

They became less popular as they were no longer practical and had to be replaced by more functionality. Airtable was created to address the lack of oomph found in most spreadsheet platforms during its release. Today, with the increasing rise of cloud-based and remote work, Airtable’s signature capabilities are more fitting for teams of all sizes. Best ClickUp Templates

Airtable’s Pros

  • There are many amazing customization and spreadsheet-creating capabilities.
  • Renowned for its stable and functional user interface and experience
  • Because of its affinity for diversity, it is suitable for many types of work.

Airtable’s Cons

  • The data export and import process may sometimes be a struggle to work with, especially when transferring data from other platforms like MS Excel.
  • Although it may seem difficult to sign up for Airtable, once you get used to the overall functions of the platform, it will be worth it.

Bottom Line: Which Project Management Software Should I Choose? Best ClickUp Templates

If you want your team to do all things at once, ClickUp may be our best option. However, if you don’t want your mates to be fully overwhelmed for the first time, Monday.com is a great alternative. Technically, all platforms in our list are alternatives. However, Monday.com has more in-house capabilities, such as communication tools, collaboration tools, reporting and time-tracking.

If you’re striving for a perfect balance between functionality and form, Asana, Notion, and Airtable are the best bets. You can focus on the task at hand while using as few features as possible. If you want to, integrations are available. The only difference lies in how they’re used: Notion focuses on note-taking and documents, Airtable on spreadsheets, and Asana on task handling with a little communication on the side.

Trello might be better suited for workflows that rely on visuals. However, you may need to integrate with other platforms in order to achieve other goals. It shines best when it is used with Kanban board views. Jira Software is a great choice if you are looking for an advanced interface and agile features, and/or a computer-related skill such as IT, web development or any other computer-related skill.

ClickUp is the only way to combine the best features from all other PMS in one place. However, this route is not for everyone. You will need to be aware of its strengths and limitations, which we haven’t covered in detail here. It’s worth mentioning that some of ClickUp’s tools may be better, while others may not – nevertheless, it offers a decent list of integrations, which you can use to your advantage if you need it most, as with any other existing project management software.

Have you found the perfect PMS to help your team achieve your dream goals? Is ClickUp the right platform for your team, or is it something else that best suits your needs? Regardless of your choice, we’ll wish you the best of luck!
